Terms and Conditions of Attendance and Participation

These are the terms (the “Agreement”) governing your attendance at and participation in NASN2022 (the “Event” or the “Annual Conference”). When registering for the Event, you will be required to agree to these terms, which form a binding legal contract between the National Association of School Nurses (“NASN”) and the registered attendee or participant (“you”).

1 Attendee Requirements

1.1 Admittance. Your registration entitles you to admittance to the Event for which you have registered. Any and all other costs associated with your attendance (including without limitation travel and accommodation expenses) shall be borne solely by you, and NASN shall have no liability for such costs.

1.2 Nursing Continuing Professional Development (NCPD): Attendees paying the appropriate registration fees will receive NCPD CNE contact hours for the Event's educational sessions attended and evaluated within the 90-day allotted window. Attendees must stay for the entire session, no partial credit. Attendees have 90 days to complete evaluations to receive NCPD CNE credit for the Event.

NOTE: Extensions apply to completing evaluations. Extensions do not apply to viewing content.

1.3 Use of Likeness. By attending the Event you acknowledge and agree to grant NASN the right at the Event to record, film, photograph, or capture your likeness in any media now available or hereafter developed and to distribute, broadcast, use, or otherwise globally to disseminate, in perpetuity, such media without any further approval from you or any payment to you. This grant to NASN includes, but is not limited to, the right to edit such media, the right to use the media alone or together with other information, and the right to allow others to use or disseminate the media.

1.4 Event Content. You acknowledge and agree that NASN, in its sole discretion, reserves the right to change any and all aspects of the Event, including but not limited to, the Event name, themes, content, program, speakers, performers, hosts, moderators, venue, and time. All listed presenters are confirmed at press time.

1.5 Age Requirements. No one under the age of 18, including children in strollers accompanying their parents, will be admitted.

1.6 Identification. All attendees must be able to provide a government-issued photo ID if requested.

1.7 Attendee and Participant Badge Usage. Attendee and participant badges must be worn at all times in Event areas.

1.8 Visa Requirements. It is the sole responsibility of the attendee to take care of any government visa requirements. Attendees who require an entry visa should allow sufficient time for the application procedure. Attendees should contact the nearest embassy or consulate to determine the appropriate timing of their visa applications. NASN will not contact embassies and consulates on behalf of visa applicants or provide any other assistance relating to visa issues. Failure to obtain a visa in advance of an Event does not constitute a valid basis for obtaining a refund. Visa invitation requests will be accepted for our Event and are due no later than 10 business days prior to the Event. Requests received after that will not be honored. In order for the Visa invitation to be processed, the name on the credit card used to register must match the name of the requestor.

1.9 Reasonable Accommodations: Requests for accessibility accommodations can be included on the Event's registration form or in an email to NASN at conference@nasn.org. NASN strives to make reasonable accommodations for all attendees submitting a request.

2 Prohibited Conduct

2.1 Limitations on Use. By registering as a speaker or as a paid attendee to this Event, you agree not to share, sell or trade your badge.

2.2 Unacceptable Behavior. You acknowledge and agree that NASN reserves the right to remove you from the Event if NASN, in its sole discretion, determines that your presence or behavior is unacceptable, creates a disruption or hinders the Event or the enjoyment of the Event by other attendees. Unacceptable behaviors include but are not limited to:

  • Intimidating, harassing, abusive, discriminatory, derogatory or demeaning speech or actions by any participant in the Event, at all related events and in one-on-one communications, including online communications, carried out in the context of the Event;
  • Harmful or prejudicial verbal or written comments or visual images related to gender, sexual orientation, race, religion, disability, age, appearance, or any other personal characteristic;
  • Inappropriate or gratuitous use of nudity, sexual images, or stereotyped images in public spaces (including presentation slides), including online;
  • Deliberate intimidation, stalking or following in person on online;
  • Harassing photography or recording;
  • Sustained disruption of talks or other events;
  • Unwelcome and uninvited attention or contact in person or online;
  • Physical assault (including unwelcome touch or groping);
  • Real or implied threat of physical harm; and
  • Real or implied threat of professional or financial damage or harm.

2.3 Badge Misuse. Attendees wearing badges from previous NASN Events or falsified badges and/or sharing or swapping badges is prohibited. All Event badges are the property of NASN and must be returned to NASN upon request.

2.4 Suitcasing. “Suitcasing” refers to the practice of attending a trade show but “working the aisles” from a suitcase or briefcase, soliciting business from other attendees and exhibitors. For the good of the show and the exhibitors supporting the show, the only legitimate place to conduct business during show hours is within a contracted exhibit space on the show floor. Attendees observed soliciting business in the aisles or other public spaces, or in another company’s booth, will be ejected from the Event and may be banned from future NASN events.

2.5 Photography, Recording, Live Streaming, and Videotaping. Attendees may not record or broadcast audio or video of sessions at NASN Events. Obtaining permission and approval to photograph, record, or capture any individual’s likeness in any media and to distribute, broadcast, use or otherwise globally disseminate such media is solely the responsibility of the individual creating such media and not NASN.

2.6 Unethical/Non-Compliant Marketing. NASN reserves the right to deny admission to anyone who engages in or is reputed to engage in unethical or non-compliant marketing practices.

3 Fees

3.1 Payment. The payment of the applicable fees for the Event is due upon registration in U.S. funds. If such payment is insufficient or declined for any reason NASN may refuse to admit you to the Event and shall have no liability in that regard.

3.2 Student Registration Rate. If made available, the student Event rate is extended to NASN members in good standing with Student membership classification.

3.3 Retired Registration Rate: If made available, the retired Event rate is extended to NASN members in good standing with Retired membership classification.

3.4 Taxes. Fees may be subject to sales tax, value added tax, or other taxes and duties which, if applicable, will be charged to you in addition to the fees.

3.5 Registration Deadlines: Registration deadlines are based on Eastern Time Zone.

4 Cancellation, Transfer, and Lost Badge Policy

4.1 Cancellation of Registration of In-person Event: Written cancellations received by June 6, 2022 will be eligible for a full refund of the registration fee paid. Cancellations on or after June 7th will incur a $75.00 fee. All written requests can be emailed to conference@nasn.org. There is an option to transfer your in-person registration to our virtual registration. If this is chosen, NASN will refund the difference. Exceptions may be made in cases of illness at NASN’s sole discretion. In the event NASN must cancel the in-person conference due to unforeseen circumstances, NASN will refund the full registration fee paid.</p.

4.2 Cancellation of Registration of Event Bundle: Written cancellations received by June 6, 2022 will be eligible for a full refund of the registration fee paid. Cancellations on or after June 7th will incur a $75.00 fee. All written requests can be emailed to conference@nasn.org. Exceptions may be made in cases of illness at NASN’s sole discretion. In the event NASN must cancel the in-person conference due to unforeseen circumstances, NASN will refund the difference of the in-person registration fee paid, less the virtual registration fee.

4.3 Cancellation of Registration of Virtual Event: Written cancellations received by June 27, 2022 will be eligible for a full refund of the registration fee paid. Cancellations on or after June28th will incur a $75.00 fee. All written requests can be emailed to conference@nasn.org.

4.4 Registration Transfer. Attendee transfers may be made to any attendee registration without incurring an administrative service charge if NASN receives notification 30 days prior to the Event start date. Transfers received within 30 days of the Event start date or on site after the Event has commenced will be subject to a $50 administrative service charge. However, once you have received your badge on site, it cannot be changed, substituted, or reissued to a different person.

4.5 Lost Badge Policy. If your badge is lost, a replacement will be issued with proper identification.

5 Registration Confirmation, NASN Updates, and Networking Platform

5.1 Once you have completed your registration, you will receive your registration confirmation by email. Please ensure that your valid email address is entered correctly on the registration form. Be sure to check your junk email folder in case any of your NASN email(s) are caught by spam filters.

5.2 You will receive essential information for registered attendees electronically at the email address provided on your registration form.

5.3 In addition, you will also begin to receive email from the Event's online networking platform where you can connect with other attendees prior to the event. If you would like to opt-out of email from the networking platform, you may do so by selecting the unsubscribe link in the footer of the networking platform emails.

6 Privacy Policy

6.1 Attendee Directory: A directory including all paid attendees is available on the Event's online networking platform. The directory is visible to attendees. By default, all attendees are listed in the directory. By default, the online networking platform does not display contact information. Individuals can be removed from the directory and/or review or change their privacy settings by going to their profile, selecting My Account, and then selecting Privacy Settings.

6.2 Delegation or Affiliate List: State school nurse organizations (NASN Affiliates) and NASN special interest group leaders want to let you know about activities they are planning. We will share your name, membership classification, employer name, and preferred email address. NASN members wanting to remain off the delegation or affiliate list can indicate this on the Event's registration form or by contacting NASN 30 days prior to the Event start date.

6.3 Registration List: Exhibitors and sponsors want to share exclusive information for school nurses attending the conference. We will share your name, employer name, primary mailing address, and preferred email address. Registrants wanting to remain off the registration list can indicate this on the Event's registration form or by contacting NASN 30 days prior to the Event start date.

6.4 Badge Scanning: Event badges include a bar code, which contains the individual's name, employer, preferred mailing address, and primary email address. By allowing your badge to be scanned by a vendor, you are authorizing the release of your information to the vendor.

6.5 Webcams: Unless notified at the start of a virtual event, attendees will not share their webcam. If webcams are optional, attendees will be notified at the start of the event and can choose to share their webcam or not.

7 Health and Safety Protocols

7.1 NASN is committed to providing a safe and healthy environment for all in-person event participants. Because of this commitment, NASN will implement health and safety protocols appropriate for the health circumstances existing at the time of the event. Our protocols will be guided by the requirements and recommendations of the U.S. Centers for Disease Control (CDC) and federal, state, and local health authorities.

7.2 Health and Safety Protocols: Measures may include, but are not limited to vaccination, masking, social distancing, or other similar measures. Compliance with protocols may be required for in-person attendance. NASN will notify event participants with additional information regarding the protocol requirements prior to the first day of the event.

7.3 Personal Responsibility: The responsibility for a safe and healthy in-person event environment is shared among all in-person event participants. You agree that you will not attend the in-person event if you are experiencing, or within the 10 days prior, have experienced signs and symptoms of COVID-19 or another communicable disease, believe that you may have been exposed to a confirmed or suspected case of COVID-19 or another communicable disease, or have been diagnosed with COVID-19 or another communicable disease and are not yet cleared as non-contagious by the health care team responsible for your treatment.

8 Non-endorsement of Products

8.1 Accredited status does not imply endorsement by NASN or the American Nurses Credentialing Center of any commercial products discussed/displayed in conjunction with the educational activity. Commercial support, including financial or in-kind, of an educational activity by a specific organization or corporation does not imply endorsement by the NASN. Furthermore, focus groups or other market research conducted by third parties does not indicate endorsement of the research or methodology by NASN.

9 Intellectual Property

9.1 All intellectual property rights in and to the Event, the Event content, and all materials distributed at or in connection with the Event are owned by NASN or the Event sponsors or speakers presenting at the Event. You may not use or reproduce or allow anyone to use or reproduce any copyrighted materials, trademarks or other trade names appearing at the Event, in any Event content or in any materials distributed at or in connection with the Event for any reason without the prior written permission.

9.2 For the avoidance of doubt, nothing in this Agreement shall be deemed to vest in you any legal or beneficial right in or to any trademarks or other intellectual property rights owned or used under license by NASN; nor does this Agreement grant to you any right or license to any other intellectual property rights of NASN, all of which shall at all times remain the exclusive property of NASN.

10 Disclaimer of Warranties, Limitation of Liability

10.1 The views and opinions expressed by the speakers and experts are those of the individual presenters and not the views or opinions of NASN.

10.2 NASN gives no warranties in respect of any aspect of the Event or any materials related thereto or offered at the Event and, to the fullest extent possible under the laws governing this Agreement, disclaims all implied warranties, including but not limited to warranties of fitness for a particular purpose, accuracy, timeliness, and merchantability. The Event is provided on an “as-is” basis. NASN accepts no responsibility or liability for reliance by you or any person on any aspect of the Event or any information provided at the Event.

10.3 Except as required by law, NASN shall not be liable for any direct, indirect, special, incidental, or consequential costs, damages or losses arising directly or indirectly from the Event or other aspect related thereto or in connection with this Agreement.

10.4 The maximum aggregate liability of NASN for any claim in any way connected with, or arising from, the Event or this Agreement, whether in contract, tort, or otherwise (including any negligent act or omission), shall be limited to the amount paid by you to NASN under this Agreement.

11 Miscellaneous

NASN’s failure to exercise any right provided for herein shall not be deemed a waiver of any further rights hereunder. NASN shall not be liable for any failure to perform its obligations hereunder where such failure results from any cause beyond NASN’s reasonable control. If any provision of this Agreement is found to be unenforceable or invalid, that provision shall be limited or eliminated to the minimum extent necessary so that this Agreement shall otherwise remain in full force and effect and enforceable. This Agreement is not assignable, transferable or sub-licensable by you except with NASNs prior written consent. This Agreement shall be governed by the laws of Maryland and the parties shall submit to the exclusive jurisdiction of the Maryland courts. A party that substantially prevails in an action brought under this Agreement is entitled to recover from the other party its reasonable attorneys’ fees and costs. Both parties agree that this Agreement is the complete and exclusive statement of the mutual understanding of the parties and supersedes and cancels all previous written and oral agreements, communications and other understandings relating to the subject matter of this Agreement, and that all modifications must be in a writing signed by both parties, except as otherwise provided herein. No agency, partnership, joint venture, or employment is created as a result of this Agreement and you acknowledge that you do not have any authority of any kind to bind NASN in any respect whatsoever.
