This Privacy Policy explains how the National Association of School Nurses (NASN) collects and processes your Personal Data (as defined below) in connection with www.nasn.org (where customers can learn about NASN’s products and services), schoolnursenet.nasn.org (where customers and NASN members share knowledge, information and feedback in online communities), my.nasn.org (where customers and NASN members keep Personal Data current and engage in e-commerce with NASN), www.pathlms.com/nasn (where customers and NASN members participate in e-learning activities) and ad hoc websites used to conduct surveys and receive abstract submissions (each a “Website” and, collectively, the “Site”).
Each time you use NASN’s Site, the current version of this Privacy Policy applies. This Privacy Policy is applicable to all Site visitors, registered users, and all other users of the Site.
By visiting the Site, you acknowledge that you have read and understood the processes and policies referred to in this Privacy Policy.
For the purpose of this Privacy Policy, NASN is a data controller as defined by the General Data Protection Regulation (GDPR). This means NASN determines the purposes and means of processing Personal Data of its customers and members. NASN is committed to protecting your privacy in the collection and processing of your Personal Data and this Privacy Policy supports that commitment.
NASN is headquartered in the United States (U.S.). NASN collects, stores and processes your Personal Data in the U.S. The data privacy and data protection laws outside your country may offer less protection than the laws in your country. By using NASN’s Site or otherwise providing NASN with your Personal Data, you agree to the transfer of your Personal Data as described in this Privacy Policy. If you do not agree to such cross-border transfers of your Personal Data, please do not submit it through the NASN Site.

How NASN collects Personal Data
“Personal Data” is any information that enables NASN to identify you, directly or indirectly, by reference to an identifier such as your name, identification number, location data, online identifier or one or more factors specific to your physical, physiological, genetic, mental, economic, cultural or social identity.
Personal Data that you give NASN
NASN primarily collects Personal Data provided to NASN by individuals when they interact with NASN products, services, and customer service. The types of Personal Data collected varies based on the services offered but may included the following.
Contact Information
You provide this when corresponding with NASN on the Site or by phone, email, or otherwise. This includes information you provide when you create a user account on the Site or participate in social media functions on the Site such as survey forms. The information you give NASN may include your name, credentials, address, email address, phone number, and employer.
Membership Information
You provide this or your employer may provide this on your behalf. The information given may include your name, contact details such as address, phone number and email address (business or personal), age, nursing license, and any other information related to your membership.
Purchase Information
You provide this when you make a purchase with NASN for a membership, an event, publications and/or merchandise, or make a donation. The information given may include financial information and any other information related to the purchase. You may elect to save and store payment information for future use on the Site. Payment transactions are encrypted using SSL technology. Online purchases are conducted by a third-party credit card processing service.
Demographic Information
You provide this when you elect to share demographic information in the NASN database profile or the NASN website profile. The information given may include your photo, area of practice, certifications, education, job history, union affiliation, and more.
Personal Data NASN collects from you
With regard to each of your visits to NASN’s Site, NASN uses tracking technologies to automatically collect technical, visit and location information.
Technical information may include Internet Protocol (IP) address used to connect your computer or device to the Internet, computer or device type, browser type and version, time zone setting, operating system, platform, Internet service provider, and domain names.
Information about your visit including pages you viewed or searched for, page response times, length of visit to certain pages, page interaction information (such as scrolling, clicks, and mouse-overs), website usage, referring/exit pages, date/time stamp, and methods used to browse away from the page.

How NASN uses your Personal Data
NASN will only process your Personal Data, including sharing it with third parties, where (1) you have provided your consent which can be withdrawn at any time, (2) the processing is necessary for the performance of a contract to which you are a party, (3) NASN is required by law, (4) processing is required to protect your vital interests or those of another person, or (5) processing is necessary for the purposes of NASN’s legitimate commercial interests, except where such interests are overridden by your rights and interests.
Personal Data that you give NASN
NASN may use Personal Data that you provide directly to NASN for the following purposes:
- to carry out NASN obligations arising from your membership, or any other contract entered into between you and NASN and to provide you with the information, products and membership services that you request from NASN;
- to organize events that you have purchased or registered for, and to provide you with information, and other materials, relating to the content of the event, the speakers, sponsors and other attendees;
- to respond to your questions and provide related membership services;
- to provide you with information about other events, products and services NASN offers, provided you have not opted-out of receiving that information;
- to provide you, or permit selected third parties to provide you, with information about events, products or services NASN feels may interest you, provided you have given your consent; and
- to notify you about changes to NASN’s membership service.
Personal Data NASN collects from you
NASN will use Personal Data that NASN has collected about your use of NASN’s Site:
- to administer the NASN Site and for internal operations, including troubleshooting, data analysis, testing, research, statistical and survey purposes;
- to improve the NASN Site to ensure that content is presented most effectively for you and your computer;
- as part of NASN’s efforts to keep the NASN Site safe and secure; and
- to measure or understand the effectiveness of advertising NASN serves to you and others, and to deliver relevant advertising to you.
Disclosure of your Personal Data
NASN may share your Personal Data for the purposes described in this Policy with:
- a member of the NASN group including staff and NASN Affiliate organizations;
- partners, suppliers and sub-contractors, for the performance of obligations arising from your membership, or any other contract NASN enters into with them or you or to provide you with the information, products and membership services that you request from NASN;
- analytics and search engine providers that assist NASN in the improvement and optimization of the NASN Site;
- trusted third-party companies and individuals to help NASN provide, analyze, and improve the Site and NASN membership services (including but not limited to data storage, database management, web analytics, learning management systems, e-mail marketing, event mobile apps, and payment processing); and
- if NASN or substantially all of its assets are acquired by a third party, in which case Personal Data held by NASN about its customers will be one of the transferred assets.
NASN will only transfer your Personal Data to trusted third-parties who provide sufficient guarantees in respect of the technical and organizational security measures governing the processing to be carried out and who can demonstrate a commitment to compliance with those measures.
NASN may disclose Personal Data when disclosure is appropriate to comply with the law (or a court order or subpoena); to prevent or investigate a possible crime, such as fraud or identity theft; to enforce NASN Terms of Use or agreements that govern your use of this Site; or to protect the rights, property or safety of NASN, NASN Site users, or others.
Please keep in mind that if you disclose Personal Data through communities on NASN’s Site, this information may be collected and used by others. NASN does not monitor messages shared in online communities or private online communications.
How you can change, access or remove Personal Data
Changes
To manage your name, contact information and demographics such as area of practice, go to the Personal Info in your NASN database profile at https://my.nasn.org/my-profile?&tab=account. The information in your NASN database profile is visible to NASN only.
To manage the photo, bio and demographics such as education and job history, go to the NASN website profile at https://www.nasn.org/nasn/sectiondirectory/profile. The information in your NASN website profile is connected to the online directory and contributions your make in NASN’s online communities.
To manage payment information you elected to save and store for quarterly membership payments, you will need to reset the information by completing the membership application here https://my.nasn.org/memberships/become-a-member. Select QUARTERLY INSTALLMENTS when asked if paying one annual fee or quarterly installments, enter payment information, CHECK the 'save this credit card' box, and CHECK the 'auto pay' box.

Privacy Settings

Opting Out
To manage your visibility in the online directory, go to the Privacy Settings in your NASN website profile at https://www.nasn.org/nasn/sectiondirectory/profile/myaccount/my-settings?section=privacy.
To manage your NASN marketing and other mailing list preferences, go to the Personal Info in your NASN database profile at https://my.nasn.org/my-profile?&tab=account.
To manage your preferences for receiving online messages from community managers and administrators, go to the Email Preferences in your NASN website profile https://www.nasn.org/nasn/sectiondirectory/profile/myaccount/my-settings?section=email.
To manage your community discussion list subscriptions, go to the Community Notifications in your NASN website profile https://www.nasn.org/nasn/sectiondirectory/profile/myaccount/my-settings?section=subscriptions.
Additionally, you can click on the unsubscribe link within any NASN marketing message, community manager or administrator message, or community discussion list subscription.
NASN uses push notifications in its annual conference event app to update you about event activities. If you have installed the event app on your device and no longer wish to receive push notifications, you may turn them off at the device level.
Access
Upon request, NASN will provide you with your Personal Data held by NASN. Requests typically receive a response within thirty (30) days.
Removal
If you want NASN to remove your Personal Data, please contact NAS N at nasn@nasn.org. Requests typically receive a response within thirty (30) days.
Your rights
Subject to applicable law, you have the following rights in relation to your Personal Data:
Right of access: If you ask NASN, NASN will confirm whether NASN is processing your Personal Data and, if so, provide you with a copy of that Personal Data (along with certain other details). If you require additional copies, NASN may need to charge a reasonable fee.
Right to rectification: If your Personal Data is inaccurate or incomplete, you are entitled to have it rectified or completed. If NASN has shared your Personal Data with others, NASN will tell them about the rectification where possible. If you ask NASN, where possible and lawful to do so, NASN will also tell you with whom NASN shared your Personal Data so that you can contact them directly.
Right to erasure: You may ask NASN to delete or remove your Personal Data and NASN will do so in some circumstances, such as where NASN no longer needs it (we may not delete your data when other interests outweigh your right to deletion). If NASN has shared your data with others, NASN will tell them about the erasure where possible. If you ask NASN, where possible and lawful to do so, NASN will also tell you with whom NASN shared your Personal Data so that you can contact them directly.
Right to restrict processing: You may ask NASN to restrict or ‘block’ the processing of your Personal Data in certain circumstances, such as where you contest the accuracy of that Personal Data or object to NASN processing it. NASN will tell you before we lift any restriction on processing. If we have shared your Personal Data with others, we will tell them about the restriction where possible. If you ask us, where possible and lawful to do so, we will also tell you with whom we shared your Personal Data so that you can contact them directly.
Right to data portability: You have the right to obtain your Personal Data from NASN that you consented to give NASN or that is necessary to perform a contract with you. NASN will give you your Personal Data in a structured, commonly used and machine-readable format. You may reuse it elsewhere.
Right to object: You may ask NASN at any time to stop processing your Personal Data, and NASN will do so:
If NASN is relying on a legitimate interest to process your Personal Data — unless NASN demonstrates compelling legitimate grounds for the processing; or
If NASN is processing your Personal Data for direct marketing.
Rights in relation to automated decision-making and profiling: You have the right to be free from decisions based solely on automated processing of your Personal Data, including profiling, that affect you, unless such processing is necessary for entering into, or the performance of, a contract between you and NASN or you provide your explicit consent to such processing.
Right to withdraw consent: If NASN relies on your consent to process your Personal Data, you have the right to withdraw that consent at any time. This will not affect the lawfulness of processing based on your prior consent.
Right to lodge a complaint with the data protection authority: If you have a concern about our privacy practices, including the way NASN has handled your Personal Data, you can report it to the data protection authority that is authorized to hear those concerns.

Legitimate Interest. “Legitimate interest” means the interests of NASN in conducting and managing NASN’s organization. For example, NASN has a legitimate interest in processing your Personal Data to analyze how the Site and NASN products and services are being used by you, and to ensure network and information security, as described in this Privacy Policy. When NASN processes your Personal Data for our legitimate interests, NASN makes sure to consider and balance any potential impact on you, and your rights under data protection laws. NASN’s legitimate interests do not automatically override your interests. NASN will not use your Personal Data for activities where NASN’s interests are overridden by the impact on you, unless NASN has your consent or those activities are otherwise required or permitted to by law. Storage
NASN will store your Personal Data, in a form which permits NASN to identify you, for no longer than is necessary for the purpose for which the Personal Data is processed. NASN may retain and use your Personal Data as necessary to comply with NASN legal obligations, resolve disputes, and enforce NASN agreements and rights, or if it is not technically reasonably feasible to remove it. Consistent with these requirements, NASN will try to delete your Personal Data quickly upon request.
NASN will retain your information for as long as your account is active or as needed to provide you with access to NASN’s Site. If you wish to cancel your account or request that NASN no longer use your information to provide you service, contact NASN at nasn@nasn.org. NASN will retain and use your information as necessary to comply with NASN’s legal obligations, resolve disputes, and enforce NASN agreements. NASN maintains one or more databases to store your Personal Data and may keep such information indefinitely.
The Personal Data that you provide to NASN is generally stored on servers located in the United States (U.S.). If you are located in another jurisdiction, you should be aware that once your Personal Data is submitted through NASN’s Site, it will be transferred to NASN servers in the U.S. and that the U.S. currently does not have uniform data protection laws in place
Security
Although NASN uses security measures to help protect your Personal Data against loss, misuse or unauthorized disclosure, NASN cannot guarantee the security of information transmitted to NASN over the internet.
All information you provide to NASN is stored on secure servers.

Children’s Privacy
NASN Site is not directed to children under the age of 13. If you are not 13 years or older, do not use NASN’s Site. NASN does not knowingly collect Personal Data from children under the age of 13.
